Company Name:
eMoveUs GmbH
Short description of the project:
Digitization of contract processing and internal contract processes in order to use resources more efficiently and increase the speed of processing.
Why sproof sign:
“Especially when handling contracts, supplier agreements, NDAs and internal approvals, we noticed that the traditional paper route, especially in times of remote work, was time-consuming and error-prone. This led to delays and additional administrative burden, which is why we wanted to optimize the document workflow and modernize business processes.”

How did the decision to introduce the digital signature come about?
As a small medium-sized start-up company in the automotive industry, we were faced with the challenge of making our internal processes more efficient and shortening processing times. Especially when it came to handling contracts, supplier agreements, NDAs and internal approvals, we noticed that the traditional paper route was time-consuming and error-prone, especially in times of remote work. This often led to delays, additional costs and increased administrative work, which is why we wanted to optimize the document workflow and modernize business processes.
How important is digital transformation for your company? How was it signed before?
Digital transformation plays a central role in our company, as it offers us the opportunity to respond more efficiently and agilely to the challenges in the automotive industry. For us as a start-up, digitalization is a decisive lever to secure our competitiveness and make our business future-proof. By using digital technologies, we can optimize processes, improve collaboration both internally and with external partners, while reducing costs.
Before we introduced the digital signature, all signatures were done in the traditional way: contracts and important documents were printed, signed manually, and then sent either by mail, courier, or email to collect more signatures. This process was time-consuming, inefficient, and prone to delays, especially when multiple signatures were required or documents had to be exchanged between different locations. In addition, the paper-based approach increased the risks of errors, losses, and incomplete archives.
What criteria were decisive for you in your search for the right e-signature provider?
When choosing the right e-signature provider, several criteria were decisive for us. Initially, security was a priority, as the digital signature is used for important contracts and documents that contain confidential information. A provider with high security standards, such as encryption technologies and compliance with data protection regulations such as the GDPR, was therefore a must.
In addition, ease of use was of great importance. The provider should offer an intuitive and easy-to-use platform so that our employees can get started right away without a lot of training. Compatibility with our existing systems and seamless integration into our workflows was also an important factor.
Last but not least, the price and flexibility of the offer also played a role. We were deliberately looking for a European provider that offers transparent cost structures and provides scalable solutions that can grow with our company. Support and customer service were also important criteria to ensure that we receive support quickly in case of questions or problems.

For which use cases is the digital signature used?
The main area of application is contract processing, especially for supplier and service contracts, sales contracts, NDAs and framework agreements, which often require several signatures.
What standards in terms of data security and compliance must a software solution meet in your company?
In our company, a software solution must meet strict standards in terms of data security and compliance to ensure the protection of sensitive information. First and foremost, this includes complying with the General Data Protection Regulation (GDPR) to ensure that personal data is processed securely and responsibly. Encryption technologies, both for the transmission and storage of data, are essential to prevent unauthorized access. We also prioritize multi-factor authentication (MFA) and access management to ensure that only authorized individuals can access our systems and data.
