How did the decision to introduce the digital signature come about?
As a small, medium-sized start-up company in the automotive industry, we were faced with the challenge of making our internal processes more efficient and shortening processing times. Particularly when processing contracts, supplier agreements, NDAs and internal approvals, we noticed that the traditional paper route was time-consuming and prone to errors, especially in times of remote working. This often led to delays, additional costs and increased administrative effort, which is why we wanted to optimize the document workflow and modernize business processes.
How important is digital transformation for your company? How was it signed before?
Digital transformation plays a central role in our company, as it offers us the opportunity to respond more efficiently and agilely to the challenges in the automotive industry. For us as a start-up, digitalization is a decisive lever for securing our competitiveness and future-proofing our business. By using digital technologies, we can optimize processes, improve collaboration both internally and with external partners and reduce costs at the same time.
Before we introduced digital signatures, all signatures were made in the traditional way: Contracts and important documents were printed out, signed manually and then sent either by post, courier or email to obtain further signatures. This process was time-consuming, inefficient and prone to delays, especially when multiple signatures were required or documents needed to be exchanged between different locations. In addition, the paper-based approach increased the risks of errors, losses and incomplete archives.
What criteria were decisive for you when looking for the right e-signature provider?
Several criteria were decisive for us when choosing the right e-signature provider. Firstly, security was paramount, as digital signatures are used for important contracts and documents that contain confidential information. A provider with high security standards, such as encryption technologies and compliance with data protection regulations such as the GDPR, was therefore a must.
In addition, user-friendliness was of great importance.
